ADHD Task Management with Toodledo and Notability | How It Works
Added:hi everyone this is Lara hammock from the marble jar channel and in today's video I'm going to tell you about the system and apps that I use for task management this is part of a series on my ADHD brain and all of the systems that I use to compensate for a lack of internal structure and organization okay so I did a video that gives an overview of my organizational processes and apps then I also have an idiot video that describes how I use Gmail to funnel all of the digital information coming into my life into a single stream this video discusses one of the core elements of my organizational system task management so I'm a list keeper always have been one of my weaknesses is in working memory which is the ability to keep more than two things in your head actively I was a waitress for a couple of summers and I was a perfectly good waitress if I had a pad of paper to write everything down but things totally fell apart if customers asked for things as I was rushing through the dining room with plates of food in my hand I just did not have the ability to remember anything that I did not write down so I have always written things down to free up working memory paper lists are great but they have drawbacks I'm not going to bore you with all of the electronic solutions that I've tried over the years but I will tell you that I've settled on tootle dues website and app it's not particularly pretty and it's definitely not super simple but it addresses all of my requirements and it gives me a couple of nice to haves as well so here are some of the requirements my requirements that are fulfilled by toodle-doo the first one cross-platform this is actually one of my main requirements I want a system that works on my computer and my phone and my iPad and syncs across all of those platforms again it's not pretty necessarily but it works next scheduled tasks in advance this is crucial for me I need the ability to schedule a task in the future like for example reminding myself to call for a grooming appointment for my dog I can only schedule these two months in advance but they fill up really quickly I also like the ability to push things off to a different day if they're not pressing for example I know that I need to take my son's bike in to get tuned up I don't have time to do this today so I look at my schedule for next week and I schedule that in my tasks for Wednesday which is the day that I'll be running a bunch of errands recurring tasks my use of recurring tasks borders on the bazaar you are really getting to see how the sausage is made here it's a little embarrassing but here goes I'll give you some personal non work examples of how I use recurring tasks so these are annual reminders to schedule well appointments for my kids schedule flu shots change batteries on our smoke detectors get the cars safety inspected by cards for certain birthdays and scheduled spring and summer gardening tasks every several months these are reminders to reach out to specific friends for dinner dates to go through my quarter my photos quarterly to do quarterly financial chores or to file receipts monthly these are monthly reminders to change the heating filter administer flea and tick medicine to my dog wax my eyebrows yes I need to be reminded do the family budget report and send photos to family weekly these are weekly reminders to pay my bills do my laundry call my grandma renew my library books plan all of our meals for the coming week and respond to all my emails in my outstanding item items folder and then on a daily basis I have reminders to meditate to check my son sticker chart to do homework planning with my son to fill out my daily log and to practice guitar so I told you it was bizarre and embarrassing to share but I forget to do things and I hate that feeling that I'm forgetting something I don't like getting tickets for forgetting to have my car safety inspected and the cops we right down here outside of our house and check like basically daily I don't like having to pay library overdue fees and this is the best way to make sure that all this stuff gets done and that it gets done in time the last of my requirements is the hot list this hot list view allows me to only see the tasks that are overdue or that are due today meaning I can hide tasks that have already been completed or that are in the future so here are all the nice-to-haves that toodle-doo gives me tags I like to have the ability to tag tasks based on project some projects are big and they have to be broken down into much smaller tasks I list each individual task and then I tag them with the project name for example I to have a bunch of tasks throughout the year that I did for my job as membership coordinator for the PTA those tasks included marketing information on the website I'm doing reports and paying dues three times a year to state and local PTA organizations I do those same tasks every year so I had them set to recur annually if I needed to see all of my membership coordinator tasks then I could filter by that tag next goals if I look at my hot list for today toodle-doo lets me sort my list using a bunch of criteria I can sort by due date I can sort alphabetically I can sort by tag and I can sort by a bunch of things but unfortunately none of those really correspond to the way that I actually work through my tasks basically what I want to do is have the ability to sort things manually in the order of how I'm going to or when I'm going to accomplish them but toodle-doo doesn't offer this instead I use this goal field for this I assign goal one for things that are five minutes or less and I can do right away I assign goal three for things that require more time goal five is for things that require me to get up or that can't be accomplished at a computer goal eight or four things that I need to do outside the house like running errands and goal ten is for things that need to happen once the kids get home from school all right I know this sounds a little nuts and I don't assign goals all the time but it does help to group things if I have 25 things on my list for the day last thing is email this is not necessary but it is cool I can email a task into toodle-doo by using a personalized toodle-doo email address so I have two to do setup as a contact in my phone and this allows me to use Siri to add a task to my task list like this hey Siri take my car to get the oil changed the next time I go into the app I wait for it to sink and voila there's the task ok so even with my elaborate goal-setting system that I just shared with you when I'm looking at a twenty five task day I have a really hard time working off off of this toodle-do list without getting super overwhelmed in addition I really love the tactile feel of marking off tasks by scribbling on a list so I use the notability app on my iPad to bridge that gap notability is a fantastic app for handwriting and drawing and believe me I have tried a ton of them so maybe I'll do an entire video on all of my uses for notability but for the purposes of task management it's great because it allows me to write directly on an imported photo and here's why that's important so I take a screenshot of my task list from toodle-doo on my iPad sometimes I need to take - if the list is particularly long then I open notability and create a new note I name it let's call this one Monday tasks then I'm going to hit the plus sign to add media I choose photo I find my photo and I bring it into notability then I want to edit and crop the list so I can just see the part that I want to see and place it on the page now what I usually do is I estimate for each task how long I think it will take and then I go through and I number them in the order that I want to do them sometimes on more elaborate days I will bring in an hourly schedule and then I'll write the tasks by number on that schedule then I race against the clock to get stuff done for my ADHD brain this is the best way to be super productive I can't stop and I can't procrastinate or it will throw the whole schedule off so it's always a little amazing to me that some people don't need all of these systems to remember things and to get things done but I've got the brain I've got and this is the best way that I've come up with to stay organized I'd
